Web Access using the Oracle Collaboration Suite

To enter the Oracle Collaboration Suite (OCS) open your browser to http://ocs.weizmann.ac.il/ocsclient and click on Launch Web Access.

A username / password entry panel will appear, into which you enter the username / password combination allocated to you. If you wish to change your password, refer to https://passwd.weizmann.ac.il/.

The Oracle Mail Web Access Cient will be displayed. This client provides many options, the main facilities of which are described below.

Preferences

Along the top of the main Mail screen you will see a black bar, with your name displayed on the left-hand side and Preferences on the right-hand side. Press the Preferences button. The Preferences screen has three icon tabs on the left side of the screen, each of which opens its own menu. (This is also how tabs are displayed on the main Mail screen.) The center tab, displayed with an envelope icon, contains the mail preferences menu. Here you can add your mail Signature, spam Rules or a vacation Auto Reply.

In order to add a vacation Auto Reply, click on the Auto Reply tab. Check the Automatically reply to incoming messages box and enter an expiration date until which you want the reply to be automatically sent. Make sure to set the Frequency to only once to each sender. Enter your auto-reply text.

Press the OK button to save your changes or Cancel to discard them.

Do not change the look-and feel in the Appearance entry of the Web Access preferences. Only the Traditional look-and-feel currently works correctly.

Reading and Sending Mail

There is a blue menu bar below the black bar at the top of the main Mail screen. On the left-hand side of the blue bar are the menu items: New, View, Go, etc. On the right-hand side of the blue bar is the Refresh button, represented by two green arrows. Pressing this button will refresh the mail display, similar to the Get Mail button in many mail clients).

  • To open a mail item you can double-click on it or view it in the reading pane (View --> Reading Pane). Click on a folder name such as Inbox to view the mail it contains. To reply to a message, you can either press the Reply or Reply To All button in the message. On a PC, you can right click on the message from within the message list and select the Reply option from the menu. From this (right click) menu you can also choose to Forward, Delete or Flag the message, among other options.

    On a PC, right-clicking on the name or address of one of the contacts in the To: or CC: fields, will automatically add the person to your Address Book. Click on OK in the window that pops up. On a macibtosh, you can do this by pressing on the cmd (apple) key and clicking on the mouse.

  • To send a message press the New button at the upper left side of the blue main menu bar. As you type, entries in your Address Book containing that character string will be displayed. Choose a contact person or type in another. If you wish to select persons from the Weizmann Institute global address book, press the To: button in the message, click on My Address Book and select Global User. You can select more than one contact by pressing the CNTL/Apple key (for PC/Mac) while selecting the contacts. Use the arrows to add the addresses to the message's To, Cc or Bcc fields and click OK. (Show the Bcc field by opening the Actions menu in the message menu bar. If you want this to be a permanent change, open the Save menu and click on Save as Template.)

    When you have finished writing the message a spell checker is available on the right-hand side of the message menu bar, represented by the abc icon. The Send button is on the left-hand side of the message menu bar.

    Contacts

    Contacts can be accessed by pressing the Contacts tab on the left-hand side of the Mail page, represented by the rolodex card icon below the Mail tab. Your personal contacts are stored in My Address Book. Press the + sign to expand the entry and see more contact categories.

    You can manually add contacts or distribution lists from here by clicking on New in the upper blue menu bar.

    The Institute's address book can be found under Shared Address Books, by clicking (do not open the plus sign) on Global User. To return to the mail screen press the Mail (envelope icon) tab.

    On a PC, you can automatically add a contact to your address book by right clicking on the name or address in the To: or CC: field of a mail message and selecting Add to Address Book. Click on OK in the window that pops up. On a macintosh, you can do the same thing by pressing on the cmd (apple) key and clicking on the mouse.

    Creating Mail Folders

    Create mail folders and subfolders by clicking on the arrow beside the New button on the upper blue menu bar. Select Folder, click on the parent folder (Oracle Mail is the main folder) and type the new folder name in the Name box. Click OK. Note that you can drag and drop messages between folders.

  • Leave OSC Mail by clicking on the Sign Out button in the upper right-hand corner of the main Mail menu bar.

  • The Weizmann Institute Computing Center strongly recommends that you use the FireFox web browser to access the Oracle Collaboration Suite. FireFox can be downloaded from http://www.firefox.co.il/.
