The Office 365 online archive is essentially a special mailbox listed alongside users’ primary mail folders in Outlook or online, on Web-based Outlook (previously referred to as OWA, or Outlook Web App), and may be accessed exactly like any primary mail folders.

Personal e-mail messages will be routed to the online archive as per the online archive policy.

Key features:

  • Storage consumed by e-mail items in the archive do not count against primary mailbox quotas.
  • Messages may be transferred to the archive either manually or automatically.
  • The online archive mailbox is easily accessible and fully manageable via the Web-based Outlook interface, as well as via Microsoft Outlook 365 on Windows, Mac and mobile devices (smartphones). It cannot be accessed via regular mobile mail apps, or via Apple Mail on Mac.

Transferring Messages to the Online Archive Mailbox

You may transfer messages and import data to the online archive in the following methods:

  • Manual dragging of messages from any folder into the Online/In Place Archive - [user’s e-mail address] folder, for simple and convenient online access.
  • Automated transfer of e-mail items from the primary mailbox to the online archive, as per item age, via activation of the online archive policy.
