Your role will include:
Performing administrative duties, including but not limited to:
- Ongoing office management: handling phone calls, managing meeting calendars, correspondence, mail, and expense reimbursements
- Providing prompt response, support, and assistance in resolving complex logistical issues in large-scale projects, with creative and solution-oriented thinking
- Managing, monitoring, and overseeing the department’s budget
- Full responsibility for the management and ongoing operation of engagements and tender processes, including monitoring and control of existing contracts
- Full responsibility for procurement processes, working with vendors, handling and tracking purchase orders and invoice approvals
- Performing additional administrative tasks as needed and in accordance with supervisors’ requests
- Working with multiple interfaces and stakeholders within the institute and externally
Skills and abilities:
- Bachelor’s degree – mandatory (advantage for a degree in Law, Economics, or Industrial Engineering & Management)
- At least 3 years of experience in an administrative role
- Experience in preparing tenders – an advantage
- Full proficiency in Office applications
- Full proficiency in Hebrew and English, both written and spoken
- Initiative and ability to work independently as well as part of a team
- Strong organizational skills, accuracy, thoroughness, and a broad, systemic perspective
- High sense of responsibility and discretion
- Ability to manage multiple tasks simultaneously and work with multiple interfaces
- Ability to quickly learn systems, think creatively to find efficient solutions, and drive processes forward
- Excellent interpersonal communication skills and a high level of service orientation
