Mail2Groups

The Mail2Groups system was developed at the Weizmann Institute to enable authorized users to send mail to different segments of the Weizmann population. All information in the system is drawn from a database, including: email addresses, names of departments, which individuals belong to research groups, which individuals belong to the different departments, etc. As a result, the information is always up-to-date, as of the time that a group of recipients is defined.

Important note: e-mails sent to the entire Weizmann Institute require approval from the Dean/Division Head.

Features

  • E-mail content formatting: you can format the content of an e-mail. For example, you can use bold, italics, color, bullets, numbering, etc.
  • Attachments: you can attach up to three files and an image that will be displayed in the body of the e-mail. Each attachment or image can be up to 2 MBs in size.
  • Sending meeting invitations: you can attach an invitation to a meeting to the e-mail. Recipients have the option of adding the invitation to their calendars.
  • E-mail personalization: you may integrate a wildcard within an e-mail, so that each recipient’s name and title will appear in the body of the sent e-mail, in Hebrew or in English.
  • Manual name addition: it is possible to manually add names to the list of recipients (e.g. the e-mail addresses of people not part of the defined segment of the population). However, manually added recipients will not be personalized with their names and titles.
  • Reuse of e-mails: you may reuse e-mails that you sent out previously, or sent out by parties who have authorized you as their delegate.
  • Test e-mail: you may send yourself test e-mails.
  • Scheduled e-mails: you can schedule your e-mails to be sent out at a future date and time.
  • The ability to unsubscribe: recipients may unsubscribe from e-mails categorized as events, lectures and seminars, and condolences.
